Purpose of Role
To ensure that Xaar import and export activities are conducted compliantly, through accuracy of documentation, timely actions and robust data administration. The role will manage the daily shipping activity of goods to Xaar customers, working closely with Sales Administration and Credit Control to meet business and customer expectations ensuring compliance with relevant laws and regulations.
Responsibilities:
- Maintain HMRC compliant audit logs for imports and exports.
- Certificate of origin, EUR 1 & ATR applications via the Chamber of Commence
- HS code and origin declarations (preferential & non preferential).
- Arrange collection and deliveries with forwarders and couriers.
- Checking and logging of courier invoices.
- Incoterm management for all purchase & sales orders.
- Trouble shoot any shipment or delivery related issues.
- Import clearance of incoming goods.
- Driving accuracy of ERP data for harmonised codes and country of origin.
- Analysis of shipping spend and actively working to reduce shipping costs.
- Monitor and report on import/export activities, including shipment status and delivery performance.
- Assist with trade compliance audits and reviews.
- Identify opportunities to optimise import/export processes and procedures.
Collaboration:
- Work closely with Sales Administration, Materials Planning and Finance to ensure timely despatch of customer orders.
- Communicate with Logistics providers regarding collection requirements.
- Liaise with Warehouse Team to ensure accurate and timely processing of sales orders.
- Accurate record keeping delivering against audit requirements.
- Work with Purchase Team to ensure timely and accurate clearance of imports.
- Respond to internal shipping requests to meet the needs of the requestor.
Skills and Qualifications:
- Proficiency in Microsoft Office applications particularly Excel and Outlook.
- The ability to show initiative to overcome challenges and have a collaborative mindset.
- Strong analytical skills (statistical analysis skills highly desirable) accurate and methodical with an eye for detail
- Flexible and responsive to business needs
- Inquisitive and proactive approach
- A confident communicator with peers and across the business
- Motivated, decisive and driven.
- Demonstrable knowledge and experience with global customs regulation and UK & US export controls.
- Detailed knowledge of HMRC related formalities – both imports and exports:
- Commodity Codes and tariff classification
- Preferential Origin Calculations
- Outward Processing Relief
- Customs procedure codes
- Importing & Exporting utilising trade agreements
